   2. Payment Methods

3. Vehicle Condition, Pickup & Return

      Customers must inspect the vehicle upon pickup and report any visible damage immediately. Failure to do so may result in responsibility for unrecorded damages upon return.
   2. Cleanliness
      Vehicles must be returned in reasonably clean condition. Additional cleaning fees may apply for:
      • Excessive dirt
      • Pet hair
      • Spills or stains
      • Smoke odor
   3. Late Return Policy
      Returning the vehicle after the allotted time may result in:
      
      • Hourly late fees
      • Additional daily charges
      • Loss of promotional rates
4. Fuel Policy
   Unless otherwise specified, all rentals follow a “Full-to-Full” fuel policy. You are expected to:
   • Return the vehicle with a full tank
   • Keep fuel receipts when required
   • Avoid misfueling
   Charges will apply if fuel levels do not match the pickup level or if incorrect fuel causes damage.
5. Mileage Policy

6. Driver Responsibilities
   By renting a vehicle, you agree to:

   • Safeguard the vehicle when parked (keys must not be left inside)
   • Use the vehicle for lawful purposes only
   Prohibited activities include:

   • Towing or hauling without prior approval
   • Transporting hazardous materials
   • Using the vehicle for ride-sharing (Uber, Lyft) unless permitted
   Violations may result in additional fees or termination of your rental agreement.
7. Insurance, Coverage & Liability
   
   1. Mandatory Coverage
      Customers must carry personal auto insurance that meets their state’s minimum liability requirements. You may also purchase additional protection options offered by HCL Car Rental.
   2. Collision Damage
      If an accident occurs, the renter must:
      • Notify law enforcement immediately
      • Secure a police report
      • Inform HCL Car Rental as soon as possible
      • Provide all documentation requested
   3. Personal Belongings
      HCL Car Rental is not responsible for loss or theft of items left inside the rental vehicle. Please double-check before returning the vehicle.
8. Breakdown Assistance
   In the event of a mechanical breakdown, we will provide assistance as quickly as possible. However, HCL Car Rental is not responsible for delays or inconveniences caused by:
   • Flat tires
   • Dead batteries caused by user negligence
   • Lost keys
   • Running out of fuel
   Associated costs may be charged unless roadside protection is included in your package.
9. Accidents, Collisions & Damages
   If the vehicle is damaged during your rental period, you may be responsible for:
   • Repair costs
   • Loss of use fees
   • Diminished value assessments
   • Administrative charges
   Failure to report an incident promptly may void coverage or protection plans.
10. Cancellation, Refunds & No-Show Policy
    
    1. Cancellation

       • Last-minute cancellations may incur penalties
    2. Refunds
       Refund eligibility depends on fuel policy, vehicle condition, unused days, and adherence to rental terms.
